Enrolment, Fees and Terms & Conditions

1. Enrolment

• Parents or guardians are required to complete an enrolment form when joining the studio for the first time.

• Following initial enrolment, families may purchase a one-term enrolment through the studio’s website before the beginning of each term.

• Families are responsible for reading the studio Prospectus and ensuring all contact and account details remain current.

• Enrolment is subject to class availability.

• A student’s place is confirmed only once a term purchase has been completed, either through an upfront payment or the subscription payment plan option.

• The annual family registration fee of $35 will be invoiced separately via email.

• Trial classes do not guarantee future enrolment or placement in a class.

• Teachers determine the appropriate class level for each student. Progression is based on readiness, ability and development, rather than age alone.

• Class placements or changes may be made at the discretion of the studio to support student development and appropriate class levels.

• Student enrolments automatically continue into the following term unless written notice of withdrawal is provided by email before the new term commences.

• A minimum of two weeks’ written notice is required for any student leaving the studio. Fees remain payable in accordance with the term enrolment and payment conditions.

• Once enrolled in a class, students are expected to remain in that class for the duration of the term. Transfers or class changes may only be approved for the following term, at the studio’s discretion.

• Once a term has been purchased through the subscription payment plan, the full term fee remains payable regardless of withdrawal, non-attendance or class changes during the term.

• Once Term 3 has commenced, class changes are generally not permitted due to rehearsals and preparations for the end-of-year performance.

2. Fees and Payments

• All tuition fees are charged per term and must be paid in advance, either through a one-off upfront payment or the studio’s subscription payment plan option.

• Upfront Payment: Families may pay the full term fee in one payment at the time of enrolment.

• Subscription Payment Plan: Families may select the subscription option available through the studio’s website to pay their term fees through scheduled instalments. The applicable payment arrangements and conditions will be provided at the time of purchase.

• By selecting the subscription option, families agree to the applicable subscription terms and authorise the scheduled payments associated with their enrolment.

• The subscription payment plan is a payment arrangement for the full term fee and does not constitute a casual enrolment or pay-as-you-attend option.

• The full term fee remains payable once the term purchase has been completed, regardless of attendance, withdrawal or class changes during the term.

• Families are responsible for ensuring their payment details remain current and that sufficient funds are available for scheduled payments. Any failed or overdue payments must be resolved promptly.

• Late or failed payments may result in suspension or loss of a student’s place until outstanding fees have been resolved.

• Fees secure a place in class, not attendance. No refunds or credits are provided for missed classes or withdrawal during the term.

• Discounts, where offered, are subject to specific conditions.

• Students are encouraged to participate in the annual concert performance. Costume production is managed externally, and a non-refundable costume fee applies to each performance item.

• Parents or guardians who do not wish their child to participate in the concert must notify the studio at the time of enrolment so that costume fees are not applied.

• Should Victorian Government restrictions prevent in-person classes from proceeding, the studio may transition to online classes. Term fees will continue to cover access to these classes, and no refunds will be provided while the studio is able to continue delivering classes online.

3. Missed Classes and Absences

• Missed classes are not refundable or transferable.

• Make-up classes are not available.

• Extended absences may be considered individually at the studio’s discretion.

• Tuition fees will not be adjusted for classes missed due to personal commitments, illness, holidays or public holidays.

• Students remain enrolled for the duration of the term, and fees remain payable regardless of attendance.

4. Health and Safety

• Students must not attend classes if they are unwell or have a contagious illness.

• Hair must be secured in a bun, and the correct studio uniform must be worn.

• Jewellery must not be worn during class.

• Parents or guardians must disclose any relevant medical conditions, injuries or other information that may affect a student’s participation.

• In the event of illness or injury, if a parent or guardian cannot be contacted, the studio may seek appropriate medical advice or assistance. Any associated costs will be the responsibility of the parent or guardian, subject to applicable law.

• Students are not supervised outside their scheduled class times.

• Students who leave the studio without a parent or guardian must provide written consent signed by a parent or guardian.

• The studio does not accept responsibility for students outside scheduled class times or for students who leave the premises without appropriate supervision or consent.

5. Code of Conduct

• Respectful behaviour towards teachers, staff and fellow students is expected at all times.

• Unsafe, disruptive or inappropriate behaviour may result in a student being removed from class.

• The studio reserves the right to suspend or discontinue a student’s enrolment where necessary due to behavioural or safety concerns.

• Choreography created by True Form Dance teachers or students as part of studio activities remains the intellectual property of True Form Dance, subject to applicable copyright law and any relevant agreements.

• Students must obtain prior permission from the studio before performing or reproducing choreography created for or by True Form Dance outside authorised studio activities.

• Parents and guardians must direct enquiries and concerns through the studio’s designated communication channels rather than contacting teachers directly.

• Casting decisions for performances and roles are made by the studio. These decisions are final, and individual casting decisions are not open to negotiation.

6. Photography and Video

• The studio may take photographs and video recordings of students for teaching, assessment, documentation and promotional purposes.

• Promotional uses may include the studio website, newsletters, concert programs, social media platforms and other advertising or marketing materials, including future promotional material.

• Student names will not be published in full without permission.

• Where consent is required for photography, video recording or promotional use, the studio will obtain and manage that consent in accordance with applicable privacy requirements.

7. Term Structure and Classes

• The studio operates in line with the Victorian school term calendar, subject to the published studio timetable.

• Classes do not operate on public holidays unless otherwise advised.

• Classes may be rescheduled when necessary.

• The studio reserves the right to cancel or combine classes if minimum enrolment numbers are not met.

• Families will be notified of relevant timetable changes or class cancellations.

8. Liability and Student Property

• True Form Dance takes reasonable care to provide a safe environment for students and staff.

• Participation in dance involves inherent physical risks, including the possibility of injury.

• Parents and guardians acknowledge these inherent risks and are responsible for ensuring students are fit to participate and that relevant health information has been disclosed.

• Students are responsible for their personal belongings. The studio is not responsible for lost, stolen or damaged items, except where liability cannot lawfully be excluded.

• Nothing in these terms excludes, restricts or modifies any rights or remedies that cannot legally be excluded under applicable law.

• To the extent permitted by law, families acknowledge the risks associated with participation in studio activities and agree to take responsibility for their own conduct and any loss or damage for which they are legally responsible.

9. Agreement

By enrolling a student with True Form Dance and purchasing a term enrolment, parents or guardians acknowledge that they have read, understood and agreed to these Terms and Conditions.

Families are responsible for ensuring that they understand the enrolment requirements, fees, payment arrangements and studio policies before completing a purchase.
